Program Manager (part-time contract)

The South Portland Land Trust is looking for qualified candidates interested in filling an open position as Program Manager. This is a part-time contract position which calls for a minimum of 10 and up to 15 hours per week; contract fee will be discussed during initial phone interview.

Program Manager Job Description

Essential Functions

The Program Manager is a part-time position that generally reports to the Board of Directors and specifically to the Board President and Executive Committee. The Program Manager assists the Board with organizational management, including strategic and policy planning and development, internal and external communications, public outreach and education, and fund development and donor relations. The Program Manager works closely with the Board to develop and implement vision and leadership for the organization. The position requires knowledge of land trust principles and practices, functions and systems, as well as ingenuity and leadership skills. 

Specific Duties

Project Coordination and Land Conservation

  • Maintain information about the status of all Land Trust projects and coordinate project activities. 

  • Design, implement, and manage land conservation programs, including new land easement and acquisition opportunities, in conjunction with the Board, committees, stewardship participants, and other stakeholders. 

  • Work with the Lands and Trails Committee to manage a property monitoring program.  Coordinate field compliance monitoring and ensure protected properties are monitored according to Land Trust Standards and Practices. 

  • Supervise any interns, volunteers, or future staff to assist with implementing projects. 

  • Actively participate in all committees of the Land Trust to ensure that all volunteer-led efforts are coordinated with each other.

External Relations and Fundraising

  • Communicate the SPLT’s vision and exemplify its core values. Represent and raise the visibility of the SPLT to a variety of audiences, including volunteers, members, government agencies and officials, community leaders, and other partners. 

  • Demonstrate political sensitivity when conducting the affairs of the SPLT. 

  • Assist with organizational communications, including the production of email newsletters, official releases to media outlets, updates to the SPLT website, and fundraising appeals.  

  • Organize events for the public, Board, volunteers, and supporters, including SPLT’s Annual Meeting.

  • Work closely with the Board to identify, engage, solicit, and maintain relationships with major individual donors and foundations to meet annual budget targets. 

  • Work with the board to seek and write grants to support Land Trust activities.

  • Work with the Treasurer to maintain complete records of all donation activities. 

  • Provide any needed assistance to the Treasurer and help the Board monitor activities to meet the budget. 

Strategic and Policy Planning and Development

  • Work with the Board to develop the annual work plan and budget. 

  • Utilize and keep updated the SPLT Annual Calendar of Events to help ensure annual obligations and events are completed in a timely manner. 

  • Help ensure Board and staff compliance with internal policies and procedures, legal requirements, and financial standards. 

  • Work with the Board President to coordinate the efforts of the Board of Directors, including annual and strategic planning, governance, and fiduciary oversight. 

Board Relations and Development

  • Support Board member recruitment and orientation efforts.

  • Communicate regularly with Board members about Land Trust activities. Schedule meetings and retreats and provide organizational support including creating meeting agendas and coordinating communications among Board members.

Legal Compliance

  • Oversee and ensure compliance with state and federal non-profit corporation requirements, including 501 (C)(3) issues.  

  • Observe by-laws and alert the Board when changes may be necessary. Ensure compliance with Land Trust Standards and Practices.
